We have a proven process that gets you someone who is an action-taker to accelerate your business to the next level!
Hire Part-time: Tailor the job description to a part-time role, specifying the required number of hours per week. This is a common solution for clients who need assistance but do not have a full 40-hour workload.
Clear expectations and consistent follow-through are key. Transparency in agreements, timely payments, and maintaining good communication foster trust and better performance. At LTG Assist we help you with those elements, setting you and your new hire up for success.
Yes, a VA can handle a variety of tasks, including:
Social media management.
Marketing functions.
Travel arrangements.
Grocery shopping.
Calendar and inbox management.
Project management
Just about everything that you can do with a computer or online!
Focus on hiring for specific skill sets or interests but also prioritize finding a smart, initiative-driven individual. This ensures flexibility as the role evolves. Often, the first hire plays a pivotal role in managing subsequent VAs. A lot of our clients end up hiring multiple positions with us.
Initial Consultation: We start with a detailed discussion to understand your needs and expectations for the VA. This includes defining the role, responsibilities, required skills, and any additional preferences.
Job Description Creation: Based on our discussion, we craft a professional, customized job description to attract the right candidates.
Recruiting and Screening: Over the next two weeks, we source candidates, review applications, and conduct thorough initial screenings and interviews to identify the best fits for your requirements.
Shortlisting Candidates: Within 2-3 weeks, we present you with a list of carefully vetted candidates who align with your business needs. This includes profiles, interview notes, and video assessments to help you make an informed decision.
Final Selection: We coordinate final interviews with your preferred candidates, providing guidance and support throughout the decision-making process.
Onboarding Support: Once you’ve chosen your VA, we assist with onboarding, including drafting independent contractor agreements, setting up communication channels, and ensuring the VA is fully prepared to start their role.
Ongoing Support: Our service doesn’t stop at hiring. We offer continuous support, including regular check-ins, performance tracking, and resources like our VA Boot Camp to ensure a smooth transition and long-term success for both you and your VA.
Once we have completed the sourcing and interviewing process, we will present you with a shortlist of carefully selected candidates. You can review their profiles and decide whether to schedule interviews with them. Following the interviews, you can make your hiring decision immediately. Depending on the specific role this can take 2-3 weeks. Every search involves extensive recruiting and advertising, which takes time to find the right candidates.
The working hours depend on your company's specific needs. We have hired for businesses all the way from California to the United Kingdom. Our Virtual Assistants (VAs) are highly flexible and can adjust their schedules to align with your preferred timezone.
We recommend one full time VA so long as the role is not a specialized one. For example, if you need book keeping and website development, that may make sense to have two part time assistants. Rarely is an exceptional book keeper also a web developer.
As a part of our VA Boot Camp if the VA leaves or there are issues during this period, a replacement will be provided free of charge.
The VA undergoes a bootcamp process for one week, during which they are coached one-on-one and trained on best practices. This training includes setting up systems, communication, and job-specific tools. Afterward, the VA receives weekly check-ins for the next seven weeks.
Yes, there are a minimum of three calls during the 90 days between the client and the LTG Assist CEO. The focus is on solving problems, ensuring proper delegation, and making adjustments as needed.
During the 90-day period, if there are performance issues, we will find a new VA free of charge. After 90 days, performance issues are handled by the client and the VA, without additional service fees.
The VAs are independent contractors, not employees. You sign a 1099-style contract with the VA directly, and there are no overheads like workman’s comp, insurance, or taxes involved.
There is no long-term contract. LTG Assist provides a contract that serves as a template outlining expectations, and you can review it. It covers standard language; however, they do not address provisions such as workers' compensation or tax obligations. Clients are responsible for handling these aspects based on their specific requirements and applicable regulations. We always recommend you speak with your lawyer or CPA regarding you specific situation.
How can I share files and information securely with the VA?
Treat your VA like you would any other remote worker. Some things to consider:
Use Secure File-Sharing Platforms:
Utilize platforms such as Google Drive, Dropbox, or OneDrive with appropriate access controls.
For sensitive files, consider using encrypted file-sharing services like ShareFile or Tresorit.
Password Protection:
Password-protect documents before sharing them.
Share passwords via a separate, secure channel, such as an encrypted messaging app.
Two-Factor Authentication (2FA):
Enable 2FA on all platforms where sensitive information is stored or shared to add an extra layer of security.
VPN Usage:
Encourage the VA to use a Virtual Private Network (VPN) for secure remote access.
Access Management:
Use role-based access controls to ensure the VA only has access to the files and folders necessary for their work.
Regularly review and update permissions as required.
It's natural to have concerns when hiring, but asking thoughtful questions is an excellent starting point. The key is to establish clear expectations, prioritize secure practices, and carefully select candidates who align with your requirements.
You'll need to consider factors such as the hours required, the type of tasks, and whether you want to share the VA with others (like friends who are investors). The decision will depend on your needs and expectations for the role. As a part of our discovery process we can help you figure out if full time or part time is right for you.
VAs typically stay long-term when they’re properly trained and valued. The provider has team members who have been with them for multiple years, with retention being a positive trend for well-supported VAs.
